About the role...

The marketing coordinator provides administrative support to the Chief Marketing Officer and project support to the brand marketing team. This individual maintains efficient and professional communication between the home office, hotel teams, and agency partners. The role also coordinates key marketing activities, programs, and promotions for the brands under SH Hotels and Resorts.

Beyond the administrative support to multiple executives (e.g., calendar management, meeting planning, expense and budget management, content creation), this individual will be part of a high-performing team culture, and a fast-paced environment, while gaining meaningful experience in brand marketing.

Execute activities within marketing plans for specific campaigns, strategies, and projects by assembling monthly reporting, communicating with hotels, partners, and agencies, and preparing content; planning and organizing calendars.

  • Work as part of an integrated Brand and Marketing team to deliver cost-effective multi-media campaigns, literature and property toolkits, and consumer-facing content.
  • Coordinate the development of communications and standard operating procedure documents related to marketing with various other departments.
  • Prepare content and imagery for project briefs, supporting key marketing initiatives.
  • Assist in the creation and updates of presentation decks for internal and external use.
  • Collaborate with marketing agency partners for day-to-day projects.
  • Support the marketing team by conducting research for specific needs – e.g., competitive brands, potential partners, and best practices.
  • Prioritize, disseminate, and/or organize as appropriate, mail, email, and voice mail received by the Chief Marketing Officer and other executives as assigned. Responsible for the execution and organization of correspondence generated by the executives.
  • Anticipate executives and broader team’s needs to proactively maintain office protocol, bring together people and resources to support him or her addressing relevant issues.
  • Prepare agenda, attend, record, distribute, and maintain minutes from meetings as appropriate and needed.
  • Ensure professional and tactful communication between all parties at the home office, hotels, and partners, using efficient and appropriate written and verbal skills.
  • Maintain confidential information which would have an immediate negative impact on the company’s operations, performance, or value if shared beyond its intended audience. Confidentiality is a must!
  • Conduct research, prepare and maintain materials as requested by the Chief Marketing Officer and other executives supported as assigned.
  • Manage calendar and schedule appointments for the Chief Marketing Officer and other executives as assigned, maintaining close contact with the home office team and other administrative assistants.
  • Make travel and outside meeting arrangements as requested.
  • Prepare and submit expense reports for executives.
  • Build strong relationships with property marketing leaders, coordinating marketing efforts between the home office team and the hotels.
  • Prepare and maintain - in confidence - financial records as requested, invoice submittals, record keeping, and similar finance-related efforts.
  • Assist the Chief Marketing officer, corporate office executives as requested, and the marketing team with special projects.
  • Complete other duties as assigned by the direct manager.
  • Help streamline workflow and content strategy by regularly managing tasks on Monday.com as well as centralizing marketing assets for optimal accessibility and efficiency.
  • Support in the management and content creation for LinkedIn channels, enhancing our brand's digital presence and engaging with our audience effectively.
  • Manage and update home office collateral, ensuring the latest versions of agendas and presentation templates are readily available for use across teams.

Bonus: Have experience in working on Adobe creative platforms (e.g., Photoshop, In Design, Illustrator); skills in graphics, social media platforms, and content management systems.

 

Background must-have…

  • Current, legal, and unrestricted ability to work in the United States.
  • High school diploma or equivalent.
  • Minimum 1-2 years of previous administrative experience.
  • Prior marketing experience recommended.
